As an athletic director your job is to be organized. In order to survive your job you have to be on top of everything. You can’t afford to not be organized. Here’s some organizational tips for athletic directors to help make the seasons run smoother.

BINDERS

As an athletic director you can’t have too many binders. Binders are perfect for keeping all information organized in a portable place that can be stored easily. Binders give the option of easy storage on a book shelf while being able to take them anywhere needed.

One Athletic Director has separate binders for:

  • Memos and communication with coaches
  • Received memos and directives from leagues and state associations
  • Schedules and work orders
  • Tentative schedules for each season
  • Master copies
  • Transportation schedules
  • Building and field requests
  • Game management directions, procedures and forms

KEEP BINDER FILES IN OFFICE DESK DRAWER

On top of having he information from the binders in the binder you can put them in your drawer at your desk in organize folder. Making the information accessible without ever having to leave your desk. Everything you need is in your drawer.

KEEP FILES ORGANIZED ON YOUR COMPUTER

Not only is it important to have a paper copy but a scanned copy on your computer for a back up. Not only is is safe to have an electronic copy of the files you need but makes mailing directions and information to inquiring parents, boosters, coaches etc. quick and easy.

CREATE FOLDERS IN YOUR EMAIL INBOX

As an athletic director you need folders and binders in every area. Create folder to save similar emails in so you can recall them easily. Make sure you organize emails and print them off as soon as they come in. Letting them go too long will cause clutter and make finding relevant conversations difficult and time consuming.

ORDER AHEAD OF SEASON

Waiting until the school year begins or season starts to order uniforms, gymnasium equipment will add chaos to an already hectic schedule. Take inventory of what’s needed at the end of every season and school year and order items you can ahead of the season. Items for your gymnasiums, stadiums, walls, locker rooms and general facility items generally be ordered ahead of time. By ordering dry erase boards and custom facility signs before the season you will have time to focus on the player, booster and coaches more in a less stressful manor.
